Portfolio Administrator, New York, NY

Portfolio Administrator (New York, NY): Our client, an investment adviser with over $4B in AUM, is seeking to hire an experienced Portfolio Administrator to join their operations team in New York.  This is an exciting opportunity for someone to work closely with the Principals of the firm who are seasoned professionals in the investment management space.  This new hire will gain exposure to all areas of client management, reporting, operations, accounting and investor relations.  

 

Key Points:

  • Firm is growing through new investors so the position is open due to growth of the business
  • Position will capitalize off of an individual’s accounting and analytical background and leverage this expertise into a more all-encompassing position
  • Organization is lean (less than 20 people in total), has been around for a number of years, and has very sticky money

Responsibilities:

  • Ensure accuracy of portfolio reports prepared by an administrator; prepare and distribute monthly and quarterly reporting packages for clients
  • Track and monitor client liquidity levels; ensure the proper execution of all client portfolio investment decisions
  • Prepare fund subscription documents; monitor capital calls, redemption notices and other investor election documents and facilitate execution by clients
  • Maintain database of incoming fund communications and documents; compile checklists and address client inquiries
  • Oversee the entire client paperwork process relating to entering and exiting fund investments by clients; prepare and present to the investment team a weekly pro forma portfolio report outlining the specifics of a client’s underlying investments, their liquidity levels, and the projected asset allocations for each client portfolio based on their current status and incorporating planned future investment activities

Qualifications:

  • Bachelor’s degree with a strong academic track record; relevant experience in an accounting, operations or possibly investor relations position from a fund of funds, hedge fund, private equity fund or traditional asset manager
  • Individuals from audit backgrounds who have worked with fund of funds, hedge funds, private equity funds or other investment adviser clients would also be prime candidates for this position
  • Must be polished, presentable, team-oriented, and possess excellent communication skills
  • A CPA designation is a plus but not required
